Northbrae, like all religious and community service organizations, is continually struggling to make ends meet. We feel our fees are reasonable both for the church and for the community groups seeking meeting spaces. If your group would like to be considered as part of Northbrae's Benevolence Program (subsidized use of facilities) please make application in writing.
Deposit
A nonrefundable deposit of 25% is required to confirm use of the space. The deposit is applied to the balance of fees, which is payable thirty days in advance. Checks may be made out to "Northbrae Community Church."
You may be asked to make an additional damage/cleaning deposit of $200 for your use of Haver Hall, Parlor or Chapel, refundable within thirty days after the event if your use conforms to the arrangements made and there has been no damage to our furniture or facilities. Charges for additional use, damage and additional cleanup may be deducted from the damage/cleaning deposit refund unless other arrangements are made to cover additional charges incurred as a result of your group's use.
The church may waive either or both deposit requirements at its option.
Events Host:
Our events host must be present during the hours of your use. Your group is not responsible for opening or locking the building. If your function takes place during regular church office hours [10-12; 1-4, & 6-10 weekdays] Northbrae's regular staff may serve as your event host.
Custodial Services:
Our housekeeping and custodial staff will be responsible for putting up tables and chairs, setting up microphones (in Haver Hall or Chapel only), providing a podium, etc. To do this we must have a room diagram at least one week in advance, or we will assume you will do your own set up at the beginning of your reserved time.
After your event, our custodial/housekeeping staff will break down chairs and tables and put them away and sweep the floor. Trash should be placed in garbage bags (provided) and placed outside the kitchen door. You are responsible to set up and remove any decorations or equipment your group brings in.
Kitchen Use:
Please arrange for use of the kitchen in advance. In some instances, more than one group may be using the kitchen at the same time for preparation of refreshments. We ask your courtesy and cooperation in sharing kitchen use.
Option 1 $40.00 Coffee Pots, your own light refreshments, etc. No use of dishwasher or Northbrae dishes, utensils or pots & pans.
Option 2 $100.00 Use of Kitchen for potluck meal (Ovens to warm pre-prepared food and coffee pots included. (Please do not use Northbrae dishes, utensils or pots & pans.)
Option 3 Catered meal: Other fees and, restrictions apply. Consult the church office. Caterers must be approved by the office and have insurance in case of damage.
Notes, Rules, etc.
If your event is other than a wedding reception, bar/bat mitzvah, baptism reception or rehearsal dinner, be sure your organization's current tax exemption number is on file with us. We cannot do private parties.
When you make arrangements for use of a room, your use includes that area, the nearest entrances to that area, the surrounding hall and the nearest restrooms. Often more than one group will be meeting at the same time, and we ask that you and your group respect the needs of others.
Let us know of your intention to use the piano in the room you have scheduled. [See following descriptions of rooms for information as to which rooms have a piano.] No moving of pianos is allowed under any circumstances, if you wish to have a piano tuned to your specifications, you may do so at your own expense, after consulting and scheduling the tuning with the church office.
Decorations, signs and posters may not be attached to any wallpaper or plaster, but may be attached to wood surfaces with easily-removable tape. Have those who will decorate come no more than one hour prior to the event. Decorations your group puts up must be removed by your group.
Northbrae may be involved in repairs, remodeling or renovation of our facilities and/or gardens from time to time. We will make every effort not to have these projects interfere with your activities. Nevertheless, Northbrae will make no guarantee as to the condition of grounds and/or facilities due to remodeling, renovation or unforeseen repairs.
Description of Facilities
Haver Hall: a large room with a low-rise stage and some stage lighting. Floor is vinyl tile. This room accommodates 250 for theatre seating; 175-200 for dinner (using our standard floor plan and eight-foot rectangular tables). The room is wheelchair accessible; the nearest restroom equipped for handicapped guests.
Haver Hall has a public address system that is available upon advance notice. A tape deck or CD player may be plugged into our system. Do not plug outside microphones or additional speakers. Check with us before you bring in your own sound system. There are limits to the load our electrical system will support. A screen pulls down from the ceiling.
Parlor: a warm, carpeted room with fireplace and large bay window. Seats 80 theatre-style, or 60 at eight-foot rectangular tables. No PA system available. Piano is available. Four-inch threshold at the exterior entrance to Parlor; wheelchair access through kitchen; women's restroom is off the Parlor; men's restroom outside exterior Parlor door to left.
Gallery: a carpeted, second-floor room which sometimes has exhibits of paintings by local artists around the perimeter of the room. The room accommodates up to 40. One wall of the room is windows. The Gallery has a fireplace and a large semicircular conference table with comfortable chairs. An efficiency kitchen adjacent to the Gallery has an electric stove top and sink. Upstairs men's and women's restrooms available.
Small group rooms: two rooms used by Northbrae as Church School rooms are available for groups from 12 - 30. These rooms are on the second floor of our original building.
Chapel: The Chapel is sometimes available for meetings, concerts or lectures. The Chapel seats 325. There are two microphones at the front of the chapel. A piano and organ are available at an additional charge. The Chapel is wheelchair accessible; men's restroom is across the patio from the main doors, women's restroom is off the Parlor when that room is available or adjacent to the choir room off the Chapel, when the Parlor is otherwise occupied.
The Hut: houses Dandelion Co-op Nursery from 8 A.M. to 2:30 P.M. weekdays. The large activities room is available at other times for group meetings and events. It will seat up to 60, theatre-style. One restroom is adjacent to the room. Wheelchair accessible.
Kitchen has four ovens, a multiple burner stove top, stainless steel counters and a large commercial refrigerator. The dishwasher is to be used only by our staff or our designate.
